2026 IAOS Conference

Terms and Conditions

Conditions for participation in the 20th IAOS Conference (Vilnius, 12–14 May 2026). 

I. General provisions 

  1. The Organisers of the 20th IAOS Conference, hereinafter referred to as the “Conference”, are the State Data Agency (Statistics Lithuania) and the International Association for Official Statistics (IAOS), hereinafter referred to as the “Organisers”.
  2. The Conference will be held on 12–14 May 2026 in Vilnius, Lithuania.
  3. The language of the Conference is English.
  4. The development and coordination of the programme, including the call for IPS, CPS and Poster sessions, management of the submission and review process of abstracts, finalisation of the programme is supervised by the Scientific Programme Committee appointed by the Organisers.
  5. All dates contained in the Conditions are obligatory and non-exceedable, unless the Organisers decide otherwise, of which they will notify the Participants.
  6. The Organisers reserve the right to make changes to the programme and these Conditions, and to change the date of the Conference or cancel it.
  7. If the Conference is cancelled, the Organisers undertake to notify the registered Participants by e-mail, no later than 5 days before the scheduled start date of the Conference.
  8. The Organisers may record video and sound from the Conference for documentation, reporting and promotional purposes of the Conference and the Organisers.

II. Registration Process and Payment

  1. Participation in the Conference is conditional upon registration completed no later than 17 April 2026, exclusively through the official registration system available on the Conference website.
  2. Payment of the registration fee, applicable to all Participants, constitutes a mandatory prerequisite for attendance of the Conference.
  3. Payment must have been received before 17 March 2026 at the latest in order to enjoy the early bird rate. Payment of the registration fee at the standard rate must have been received before 17 April 2026. Payment is due within 28 days from date of invoice, unless other arrangements have been made with the Organisers.
  4. Fees are subject to the date of registration, Participant’s membership status and type, as well as Participant’s country. For more information please see Registration Fees.
  5. Please note that the Organisers will not accept responsibility for any deduction in international bank transfer fees.
  6. Conference fees can be paid by bank transfer and credit card. For payments made by credit card, the amount reflected in the credit card statement will be in the currency of the credit card. In the confirmation e-mail, the amount paid will be shown in Euros.
  7. Conference registration fee includes: participation in the scientific programme of the Conference, lunches, coffee breaks, participation in the Welcome reception on 12 May 2026, Conference materials, free Wi-Fi service in the Conference premises.
  8. Training courses registration fee includes: participation in the chosen training, coffee breaks, training materials.
  9. Accompanying persons’ registration fee includes: Opening, Closing and Awards Ceremonies, coffee breaks, lunches, participation in the Welcome reception on 12 May 2026 and the Gala dinner (for additional fee) on 13 May 2026.
  10. The registration fee does not include Gala dinner on 13 May 2026, which is limited to 250 persons.
  11. Registration does not include such things as travel, insurance, visa and accommodation. Delegates are responsible for arranging their own travel, insurance, visa and accommodation.
  12. Confirmation of participation shall be issued by e-mail solely to those Participants whose registration has been duly completed and for whom the registration fee has been received in full, using the e-mail address(es) provided in the registration form.

III. Cancellation and Refund Policies

  1. All cancellations must be received in writing by e-mail iaos2026@stat.gov.lt
  2. If you can no longer attend the Conference, please note our refund policy in the table below.
  3. Payment refund for the Gala dinner cancelation is not possible.
  4. No-shows are not eligible for refunds.
  5. There are no refunds possible after 1 April 2026, however, in exceptional cases, where cancellation by the Participant is unavoidable due to special and unforeseen circumstances, the Participant must contact the Organisers for consideration of a (partial) refund minus EUR 50 (administrative charges) and bank charges. The Organisers will consider this possibility, and their decision will be final.
  6. In case of cancellation of the Conference by the Organisers, a full refund of the registration fee paid by the delegate will be made. Liability will be limited to the amount of the fee paid by the delegate and there will not be any additional liability to the Organisers or any other individual associated with the event's organisation.
  7. In case the Conference cannot be held or is postponed due to circumstances beyond the control of the Organisers (force majeure) or due to circumstances which are not attributable to wrongful intent or gross negligence of the Organisers, liability will be limited to the amount of the fee paid by the delegate and there will not be any additional liability to Organisers or any other organisation or individual associated with the event’s organisation.

IV. Image and Protection of Personal Data 

  1. By registering for the Conference, the Participant agrees to their image being recorded in the photographs, video or voice recordings of the Conference to be disseminated by the Organisers free of charge for the purpose of documenting the course of the Conference, including its use in promotional materials and publications in the media of the Conference, as well as other promotional materials of the State Data Agency (Statistics Lithuania), without any territorial and time limitations, by means of reproduction, public displaying, streaming and sharing in such a way that everybody can access it in a place and time chosen by themselves, including the Internet.
  2. In connection with the implementation of the requirements of Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of individuals with regard to the processing of personal data and on the free movement of such data and the repeal of Directive 95/46/EC (General Data Protection Regulation), the Organisers inform about the principles and the Participants’ rights related to the processing of personal data in the registration form.

V. Final provisions 

  1. The Participant is obliged to use the ID badge issued by the Organisers for the entire duration of the Conference. It is forbidden to give or make the ID badge available to other persons. In case of losing the ID badge, please inform the Organisers. 
  2. The Organisers set the programme of the Conference and have the right to make changes in it, also on the day of the Conference, including the right to change the time schedule and order of speeches.
  3. The Organisers are not responsible for technical or organisational problems of Participants related to participation in the Conference resulting from causes beyond the control of the Organisers.
  4. The Participant bears full responsibility for all materials and information presented by him during the Conference. The Participant is obliged to ensure that all statements and presentations made by him/her during the Conference do not violate the law or the rights or personal interests of third parties.
  5. The Participant undertakes to comply with these Conditions, as well as other organisational and technical instructions which may be set by the Organisers.
  6. The Participant is obliged to mark his/her participation in the Conference by giving his/her full name. The Participant is obliged to provide true, identifying personal information.
  7. The Participant is fully responsible for damage to property on the premises where the Conference is held.
  8. Lithuanian law applies to matters related to the organisation of the Conference.
